HELP WITH MEET ENTRY LETTERS

DO use the Sanctioning Checklist to ensure you are including all required information in your entry letter and including some optional information your club wishes to convey to participants. 

DO try to create a Header to include your meet name and date and a Footer to include page numbers.

DO Proofread before you send.  It is become quite common for clubs to miss order of events errors, email addresses, etc.  Some clubs have  2-3 revisions denoted on our site and that is seemingly unorganized.  How are you going to run the meet on the weekend if you can't get your entry letter right the first time?  :-)

DO be conscious of page breaks and margins so that your entry letter is nice and clean looking/appealing on the eyes reading through it. 

DON'T USE UNUSUAL FONTS!  When you find some cute, fuzzy font on your hot new word processor and you just fall in love with it and you want to spice up your entry letter with it -- DON'T.  It's ok to use in your header/title of the meet, but stick to the basics for the information in the entry letter. 

DO save your document with your club code, then the last 2 digits of the year the meet will be held, then the 2 digits of the month the meet will be held.  IE:  BSC1012 (this meet is held by BSC in December 2010). 

DO be consicious of event age groups/setup

SUGGESTIONS FOR EVENT SETUP
Exercise care with your age grouping when you set up your meet and you will avoid meet entry errors.  The OPEN category is a good option for allowing anyone to swim certain distances.  If you do not have an OPEN age group, then for example, a 12 year old may not be able to enter a 200 back event as you probably reserve those for 13 & O kids.  So, please talk with your coaches when you set your event order/offerings/age group specifications.
